Robert Cronin Coaching and Counselling Services LTD ("Company," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your personal data when you use our website, the RCC Hub, Inish Journal, or any other platform, application, or programme we operate (collectively, the "Services"), in compliance with the General Data Protection Regulation (GDPR) and Irish data protection law.

1. WHO WE ARE

Robert Cronin Coaching and Counselling Services LTD is the data controller responsible for your personal data. If you have any questions about this policy or how your data is handled, contact us at [email protected].

2. WHAT DATA WE COLLECT

Account information: name, email address, and login details when you register for any of our Services.

Payment information: processed directly by our payment providers (Stripe, and Klarna where applicable). We do not store your full card details ourselves.

Voluntary programme data: information you choose to log within our Services, including food, mood, energy, stress, sleep, and habit tracking entries, and any notes you add.

Communication data: messages you send us via contact forms, email, or within the Services.

Usage and cookie data: information collected automatically about how you use our website and Services, as described in our Cookie Policy.

3. LEGAL BASIS FOR PROCESSING YOUR DATA

We process your account and payment data on the basis of contract, to deliver the Service you have purchased.

We process voluntary programme data such as mood, food, stress, sleep, and habit logs on the basis of your explicit consent, given separately at the point you first access a tracker or logging feature. This data is treated as special category data under GDPR.

You may withdraw this consent at any time, which will stop future collection of this data, without affecting the lawfulness of processing carried out before your withdrawal.

We process marketing communications on the basis of your consent, which you may withdraw at any time.

4. HOW WE USE YOUR DATA

To create and manage your account and deliver the programme, journal, or resource you have purchased.

To provide 1:1 coaching support, where this is explicitly included as part of the programme you have purchased.

To process payments and manage billing.

To send service related communications, and marketing communications where you have separately consented.

To improve and maintain our Services.

5. WHO WE SHARE YOUR DATA WITH

We do not sell your personal or health related data to any third party. We share data only with trusted service providers who process it on our behalf, including:

GoHighLevel (GHL): our website, marketing, CRM, calendar booking, and hosting platform, which holds account and contact information.

Stripe, and Klarna where applicable: our payment processors, which handle payment information directly.

Supabase: our database provider, which securely stores programme, tracker, and habit data once you use these features within our Services.

Some of these providers may process data outside the European Economic Area. Where this occurs, we rely on appropriate safeguards such as Standard Contractual Clauses to ensure your data remains protected to GDPR standards.

6. COACH ACCESS TO YOUR DATA

Access to your tracker, habit, and programme data is restricted using role based access controls. Coaches (currently Robert Cronin and Danielle Cronin) can only view data belonging to clients enrolled in a programme where 1:1 or coach support is explicitly included as part of that programme. Where a programme does not include coach interaction, such as Inish Journal, your entries remain private and are not accessible to any coach. Encryption is used to protect your data generally, but it is the access control system, not encryption alone, that determines which coach can view which client's data, and only within the scope of the programme purchased.

7. DATA RETENTION

We retain your personal data for as long as your account remains active. If you cancel or complete a programme, we retain your data for 30 days afterwards, or longer where required for legal, accounting, or tax purposes, after which it is deleted or anonymised. You may request earlier deletion of your data at any time, see Section 9 below.

8. DATA SECURITY

We use industry standard security measures, including encryption in transit and at rest, secure authentication, and access controls, to protect your data. While we take reasonable steps to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. YOUR RIGHTS

Under GDPR, you have the right to:

Access the personal data we hold about you.

Correct any inaccurate or incomplete data.

Request deletion of your data ("right to be forgotten").

Restrict or object to certain processing of your data.

Withdraw consent at any time, including consent to log health related tracker data.

Request a copy of your data in a portable format.

Lodge a complaint with the Data Protection Commission (Ireland) if you believe your data has been mishandled, at www.dataprotection.ie.

10. COOKIES

Our website and Services use cookies to improve your experience. You can manage your cookie preferences via the cookie banner shown when you first visit, or update your preferences at any time in your browser or account settings.

11. CHILDREN

Our Services are not intended for individuals under the age of 18. We do not knowingly collect personal data from minors.

12. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised "Last Updated" date. Continued use of our Services after changes are posted constitutes acceptance of the updated policy.
